
Our client has an immediate opening for an experienced Administrative Assistant to join its Calgary office.
The successful candidate will provide a combination of office administration, customer service, accounting support, service coordination and general operational assistance.
The position requires a highly organized and confident professional who can manage multiple priorities, communicate effectively with a variety of stakeholders and work independently while contributing to a collaborative team environment.
Provide general office administration including answering phones, distributing mail, coordinating outgoing mail and couriers, filing and maintaining office supplies.
Provide a high level of customer service to customers, contractors, vendors and office visitors.
Respond to day-to-day inquiries and assist with more sensitive or challenging situations when required.
Assist with accounts receivable and accounts payable administration.
Assist with cheque, invoice and payment processing and maintain supporting documentation.
Coordinate work orders, cleaning requests and other service requirements.
Maintain contact information, insurance documentation and other required records.
Assist with information collection and customer satisfaction initiatives.
Update databases and prepare letters, notices and other correspondence.
Maintain digital directories and online information platforms.
Assist with administrative documentation related to security and operational procedures.
Prepare and distribute recurring reports.
Provide administrative support to management and operations personnel.
Work collaboratively with the broader team to support the day-to-day operation of the office.
2+ years of relevant administrative, office support or customer-service experience
Strong organizational and time-management skills
Ability to prioritize multiple tasks with limited supervision
Strong written and verbal communication skills
Professional and confident when dealing with customers, contractors and other stakeholders
General understanding of receivables, payables and invoice processing
Proficiency with Microsoft Office
Strong attention to detail and commitment to accuracy
High degree of initiative and ability to identify work requiring attention
Ability to remain calm and professional in challenging situations
Strong interpersonal skills and a positive, collaborative attitude
Ability to exercise sound judgment and maintain confidentiality
Self-motivated and comfortable working in a busy environment
The ideal candidate is a proactive administrative professional who enjoys a broad, hands-on role and is comfortable balancing administration, customer service, accounting support and operational coordination.
$25.00 per hour
Monday to Friday schedule with no weekends or Stats
