
We are seeking an organized, detail-oriented, and service-focused Property Administrator to support the day-to-day administration of a diverse portfolio of residential and commercial properties across Alberta.
This is an excellent opportunity for an administrative professional looking to build or advance their career in property management. The successful candidate will work closely with Property Managers, tenants, vendors, and internal teams to ensure property records, tenant communications, documentation, and administrative processes are handled accurately and efficiently.
Provide day-to-day administrative support to Property Managers and the property management team.
Serve as a professional first point of contact for routine tenant and resident inquiries.
Respond to emails, phone calls, service requests, and general property-related inquiries.
Maintain accurate tenant, lease, property, vendor, and administrative records.
Assist with lease administration, including preparing documents, tracking important dates, and maintaining lease files.
Support tenant move-ins, move-outs, renewals, notices, and other administrative activities.
Prepare and distribute routine tenant correspondence, notices, forms, and property communications.
Enter and maintain information in property management, accounting, and CRM systems.
Assist with processing invoices, purchase orders, work orders, and other property-related documentation.
Track maintenance requests and follow up with Property Managers, vendors, and contractors as required.
Assist with scheduling inspections, maintenance appointments, contractor visits, and other property activities.
Maintain organized electronic and physical property files and ensure documentation is kept current.
Assist with accounts receivable administration, including preparing tenant statements, recording payments, and following up on outstanding documentation as directed.
Support monthly reporting, expense tracking, and other administrative aspects of property operations.
Assist with preparing reports, spreadsheets, presentations, and other management documentation.
Coordinate meetings, appointments, access arrangements, and property-related schedules.
Assist with vendor documentation, insurance certificates, service records, and contract files.
Support Property Managers with annual budget preparation, operating expense information, and routine reporting as required.
Assist with property inspections and document follow-up items for the Property Manager.
Maintain confidentiality when handling tenant, financial, lease, and property information.
Identify administrative process improvements and provide general support to the property management team as required.
Diploma or certificate in Business Administration, Property Management, Real Estate, Office Administration, or a related field.
1–3 years of administrative, property management, real estate, customer service, or related experience.
Experience in residential or commercial property management is an asset.
Strong written and verbal communication skills.
Excellent organization and attention to detail.
Ability to manage multiple priorities, deadlines, and administrative tasks.
Strong customer service and interpersonal skills.
Professional and confident communication with tenants, vendors, contractors, and internal teams.
Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
Experience with property management software such as Yardi, MRI, Building Engines, or similar platforms is an asset.
Strong data-entry and record-keeping skills.
Ability to work independently while contributing effectively to a team.
Ability to handle confidential information professionally.
Knowledge of Alberta property management practices and landlord-tenant requirements is an asset.
