Condo Manager

Position Overview

We are seeking an experienced and service-oriented Condo Manager to oversee the day-to-day operations of condominium properties in Alberta. The successful candidate will be responsible for supporting condominium boards, coordinating vendors and contractors, managing budgets and operating expenses, addressing resident concerns, and ensuring properties are maintained in accordance with applicable legislation, bylaws, rules, and policies.

This role is ideal for a condominium professional who can work independently, communicate effectively with condominium boards and residents, and manage multiple priorities in a fast-paced environment.

Key Responsibilities

Condominium Operations

  • Manage the day-to-day operations of assigned condominium properties.

  • Act as the primary point of contact for condominium boards, owners, residents, contractors, and service providers.

  • Coordinate routine property inspections and follow up on maintenance and deficiencies.

  • Respond to owner and resident inquiries professionally and within established service standards.

  • Monitor common-area maintenance, cleaning, landscaping, snow removal, security, building systems, and other contracted services.

  • Maintain accurate property records, correspondence, work orders, contracts, and documentation.

Board & Governance Support

  • Work closely with condominium boards to implement approved decisions and priorities.

  • Prepare meeting materials, management reports, agendas, and action-item updates.

  • Attend and facilitate condominium board meetings and annual general meetings as required.

  • Maintain and monitor action-item lists following board meetings.

  • Provide factual operational and financial information to assist boards in their decision-making.

  • Support compliance with the Condominium Property Act and applicable Alberta regulations, as well as condominium bylaws, rules, and policies.

Financial Administration

  • Assist with preparation and monitoring of annual operating budgets.

  • Review invoices and ensure expenses are appropriately allocated and authorized.

  • Monitor accounts payable, recurring expenses, contracts, and operating costs.

  • Review monthly financial statements and identify significant variances or unusual expenses for board attention.

  • Assist with reserve fund planning and capital expenditure tracking.

  • Obtain and compare contractor quotations for maintenance and capital projects.

Maintenance & Project Management

  • Coordinate preventative maintenance and repairs.

  • Obtain quotations and coordinate approved repair and improvement projects.

  • Monitor contractors to ensure work is completed according to scope, timelines, and contractual requirements.

  • Follow up on deficiencies, warranties, and outstanding work.

  • Assist with larger capital projects, building envelope work, mechanical upgrades, landscaping projects, and other property improvements.

Compliance & Risk Management

  • Maintain awareness of Alberta condominium legislation, occupational health and safety requirements, municipal requirements, insurance considerations, and applicable building requirements.

  • Ensure property records and required documentation are maintained.

  • Report significant incidents, risks, deficiencies, and insurance matters to the appropriate parties.

  • Assist boards with documentation and follow-up relating to compliance and risk-management matters.

Qualifications

  • 3–5 years of experience in condominium, residential, commercial, or property management.

  • Experience working directly with condominium boards is strongly preferred.

  • Knowledge of Alberta condominium operations and governance.

  • Strong understanding of building maintenance, contractor management, budgeting, and property operations.

  • Excellent written and verbal communication skills.

  • Strong organizational and time-management abilities.

  • Ability to manage multiple properties, projects, and competing priorities.

  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.

  • Valid Alberta driver's licence/ reliable transportation

Preferred Qualifications

  • Relevant condominium or property-management designation or certification.

  • Experience with condominium management software.

  • Experience preparing board packages and financial/operational reports.

  • Experience coordinating capital projects and building maintenance programs.

  • Familiarity with reserve fund studies and long-term capital planning.

  • Experience dealing with insurance claims and property-related incidents.
