
We’re looking for a proactive, organized, and customer-focused Assistant Property Manager to support the day-to-day operations of a diverse portfolio of residential and commercial properties.
This is an excellent opportunity for a property management professional who enjoys working with tenants, coordinating building operations, managing service requests, and supporting the financial and administrative functions of a property portfolio.
The Assistant Property Manager will work closely with the Property Manager, tenants, contractors, vendors, and internal teams to help ensure properties are well maintained, operationally efficient, and professionally managed.
Support the Property Manager with the day-to-day operation and administration of an assigned portfolio of residential and commercial properties.
Serve as a key point of contact for tenants, residents, owners, contractors, and service providers.
Respond to tenant inquiries, concerns, and service requests promptly and professionally, escalating complex matters to the Property Manager when appropriate.
Coordinate routine maintenance, repairs, inspections, and building service requirements.
Follow up with contractors and vendors to ensure work is completed safely, efficiently, and in accordance with agreed requirements.
Assist with tenant move-ins, move-outs, lease administration, renewals, notices, and related documentation.
Maintain accurate tenant, lease, property, service, and financial records.
Assist with rent collection, accounts receivable follow-up, and tenant account inquiries in accordance with established procedures.
Support monthly reporting, expense tracking, budgeting, and variance reviews.
Conduct or assist with routine property inspections and follow up on maintenance or operational issues.
Assist with preventative maintenance programs and monitor scheduled building services and inspections.
Support vendor coordination, including obtaining quotes, scheduling work, maintaining service records, and following up on completion.
Assist with the administration of service contracts and vendor agreements.
Support emergency response procedures and assist with urgent property matters when required.
Assist with tenant retention initiatives and maintain positive relationships with residential and commercial occupants.
Prepare routine correspondence, reports, notices, work orders, and other property-management documentation.
Monitor outstanding maintenance and operational items and provide regular updates to the Property Manager.
Support compliance with company policies, lease requirements, health and safety standards, and applicable Alberta legislation.
Identify operational issues and opportunities for improvement and bring recommendations to the Property Manager.
Provide general administrative and operational support to the Property Manager and broader property management team.
Diploma or degree in Property Management, Business Administration, Real Estate, Facilities Management, or a related field.
2–5 years of experience in property management, real estate, facilities, building operations, or a related field.
Experience supporting residential, commercial, or multi-family properties.
Working knowledge of Alberta landlord-tenant legislation and general property management practices.
Strong customer service, communication, and relationship-building skills.
Excellent organization and attention to detail, with the ability to manage multiple priorities and deadlines.
Strong problem-solving skills and the ability to exercise sound judgment when dealing with tenants, vendors, and operational issues.
Experience with property management software such as Yardi, MRI, or similar platforms.
Proficiency with Microsoft Office, particularly Excel and Outlook.
Ability to work independently on assigned responsibilities while collaborating effectively with the Property Manager and broader team.
Professional, reliable, and proactive approach to property operations.
Ability to maintain confidentiality and handle sensitive tenant, financial, and property information appropriately.
